Q. I am thinking of buying Fully Booked. How do I install it on my system?
A. Once vital information on your Property has been entered the installation is easily completed from the CD that is supplied as part of the sales agreement.
Q. What type of system do I need to install Fully Booked?
A. Fully Booked requires a minimum of 64 mb at setup. Bear in mind that as the Database grows so will your need for more memory. Fully Booked will run on Windows 95, 97/98 and 2000 NT. With regard to processing speed you should have, as a minimum, around 300 mhz. Screen Resolution will need to be a minimum of 800 x 600 pixels.
Q. I have taken a booking and now the client has cancelled. Can Fully Booked handle the cancellation and if monies have been paid can it handle the refund?
A. Yes, Credits and Refunds can be handled at all stages of a guests stay.
Q. GST has been implemented. Is Fully Booked GST compliant and can it calculate GST collected and GST I have paid for services?
A. Fully Booked is GST compliant and will calculate what you have collected as well as the GST proportion you have paid for services. The difference will be what you need to pay the Tax Office. The GST report will allow you to set date ranges giving you as wide a range as you require to ensure that all payments have been covered.
Q. I need to improve the types of reports I currently produce in order for me to better manage my property. Does Fully Booked have the capability to produce a variety of reports?
A. Important reports such as Source of Business, Room Availability and Housekeeping are part of Fully Booked. As the requirement for a range of different reports grows so these will be included in future upgrades.
Q. Various people have access to the computer and one of my concerns is improving security. Can certain parts of the Fully Booked system be set up so that only the required operators have access?
A. Fully Booked has a strong security system. Access is given only to those that need to be in a specific area of the System. A person’s security status can change at any time, Fully Booked allows you to make changes as and when required.
Q. With the increasing ability to sell accommodation on the Net will Fully Booked allow me to take advantage of this opportunity?
A. Preparations are in hand to make Fully Booked accessible to the world wide web. This is expected to occur in the early part of the third quarter of 2000.
Q. Our Property is fairly secluded and I have an Internet connection, but my main concern is what to do if something goes wrong. What sort of support can I get if I buy Fully Booked?
A. Support requirements for Fully Booked are minimal. The System runs well within Windows 95, 97/98 and NT 2000. Support will be either via the Internet or by simply contacting our support staff at Head Office. However, the Manual and Help facilities are generally all that is required to help solve any problems that may occur.
Q. Whilst I have a regular number of booking ranges eg Christmas, Easter etc. is Fully Booked able to handle other ranges and also any changes that I may introduce?
A. Yes it can. In the Back Office section there is Rate Charge function that allows you set rates to specific times of the year. These can then be linked to a specific type of accommodation and can then also be prioritised. These rates can be changed at any time.
Q. I have had, over the years, a large number of people stay with me and I find it frustrating not being able to utilise this potential “database”. Does Fully Booked have the ability to develop this hidden potential business tool?
A. Yes. At the heart of Fully Booked is a powerful relational Database. This allows you to store a wide range of data that can be called upon at any time to run a variety of reports, target your customer base as well as preparing specific marketing plans for future promotions.
Q. Spending advertising dollars can be quite a hit and miss affair. It is very difficult sometimes to really evaluate the success of a particular campaign. Does the management assistance suggested by Fully Booked help in assessing various campaigns so that I can define where best to spend my advertising dollars?
A. A powerful relational Database stores as much information as you want saved. One of the key components when making reservations is to enter the actual Source of that booking ie how did that client come to stay with you. This information can then be run in a report comparing accommodation dollars against dollars spent on specific promotional activities. The report will give you a clear picture of what promotions are successful and what are not.
Q. Reservations and Bookings made for a reasonable period in advance is easy to maintain, but managing this aspect for weeks and even months ahead can be quite difficult. With the reservations part of Fully Booked am I able to plan in advance and see quickly what is available?
A. The Calendar is a key component of the Reservations function. Bookings can be made as far in advance as is required. A special colour coding allows you to immediately see at what status a booking has reached. It also ensures that there is a minimal chance of double booking
Q. Ensuring that rooms are prepared well in advance or even ensuring that special requests are completed in time is a real problem. If the Housekeepers were able to be updated quickly and regularly then I feel that my property would run a lot more smoothly. Can Fully Booked help?
A. Yes. There are two functions within Fully Booked that make Housekeeping so much easier. The first is a Housekeeping function that lists all tasks that need to be completed, with the facility to actually tick off completed tasks on the screen. The second function is a Housekeeping report – this is a hard copy of what is required for the property on a specific day and can be carried by the Housekeepers as they perform their duties. Any changes that occur during the day can be entered into the system which will immediately update Housekeeping.
Q. Quite a lot of my bookings are done through third parties and I find it sometimes very difficult to keep trace of what is owed and what commissions we need to pay. Is there some part of Fully Booked that can help me keep up to date?
A. Fully Booked has an Account function in Back Office. Within this function is a Debtor function. This will record commissions owed as well as what is owed if the accommodation fee has been taken by another party. This function then allows you to record invoices from Debtors, any payments they may have made to you as well as recording any payments you have made to a debtor. The system will track commission and payments set against a particular booking so that at any time you are able to see the status of a particular booking and all the transactions against it.
